PPG meeting plan/structure
Welcome and Introductions
Introduction of the practice team followed by a discussion of the current challenges that are being faced within primary care and how having an active PPG would hugely benefit the surgery staff and patients.
Purpose of the PPG
As a group we discussed what we would like to get out of our PPG.
· Patient communication is high on the agenda for the practice. Having a team that can help support this is vital. Changes within the practice happen on a regular basis, and within the last couple of years the surgery has seen GPs retire, additional healthcare professional roles being recruited and the launch of the Total Clinical Triage system. Having an active PPG that can help get the message out to as many patients as possible will prove to be very beneficial.
· In addition to offering support to the practice the PPG members would like to be able to suggest, feedback and assist in possible changes within the practice that could be effective for patients.
Agreed that the PPG meetings will be a mixture of information giving, feedback sharing and suggestions discussed.
PPG Meeting Plan
The following has been agreed as a group for future PPG Meetings
· Agreed to hold quarterly meetings
· Agreed for meeting to be face to face where possible
· Plan for meeting to be Chaired and minuted by PPG members eventually. Laura to support the running of all meetings.
· Jane kindly offered to Vice Chair going forward
· Practice to bring any updates from within the surgery and Primary Care
· PPG to feedback ideas and possibly suggestions for the surgery
AOB
The new triaging system that went live in September was discussed as a group. The practice team explained how the surgery needed to change the way in which patients had access to the surgery due to the old model not working.
Statistically the new system is working for the surgery and the whole team are seeing huge benefits. Including being able to offer 95% of patients an appointment with a clinician within 2 weeks compared to 75% 6 months ago. Data also shows that before the new system went live in September it was at least 6 weeks wait for a routine GP appointment. This has now reduced considerably. At the time of the meeting the next routine GP appointment is 10 days.
It was recognised that despite the system working, communication to patients could be improved and the need to capture as many of the different cohorts of patients in different ways is incredibly important. PPG members happy to help support this and suggested a few ideas.
Following actions agreed for follow up at next meeting
· Practice leaflet to be discussed in more detail
· PPG members to think of ways in which they can work with the surgery to offer more support to various cohorts of patients. Laura to gather data regarding different age groups of patients etc
· Information of additional healthcare roles to be added to website
· Laura to liaise with PPG with future meeting times and agenda
